Catch-Up Bookkeeping

Your books are behind. Maybe a few months, maybe a few years. We go through the backlog, reconcile every account, categorize every transaction, and get you current so you actually know where your business stands.

How It Gets This Bad

It usually starts with one busy month. You tell yourself you will catch up next week. Next week turns into next month. Then a quarter goes by. Then a year. The pile grows and the thought of sitting down to untangle it becomes more intimidating every day, so you keep putting it off.

This is not a character flaw. It is one of the most common problems we see with business owners across Franklin, Williamson County, and Greater Nashville. You started your business to do the work you are good at, not to reconcile bank statements. The backlog is not a reflection of how well you run your company. It is just a problem that needs solving.

The Snowball Effect

A two-month backlog is manageable. A twelve-month backlog is a project. A two-year backlog feels impossible. The longer you wait, the harder it gets because bank feeds expire, memory fades, and receipts go missing. Every month you delay adds real cost to the cleanup.

Running Blind

Without current books you are making every business decision based on your bank balance and gut feeling. You don’t know if last quarter was profitable. You don’t know which jobs made money and which ones lost it. You are flying without instruments.

What We Actually Do

We pull every bank statement and credit card statement for the backlog period. We go through each transaction one by one. We categorize it, match it to receipts or invoices where possible, and reconcile every account month by month. If there are errors or duplicates, we fix them. If things were categorized incorrectly by an automated feed, we correct them.

When the work is done, you have a complete and accurate set of financial statements for the entire period. A real profit and loss statement. A real balance sheet. Numbers you can hand to your CPA, take to a bank, or use to make decisions about your business going forward.

The Process

We start with a review of what you have. Bank access, accounting software login, whatever documentation exists. From there we build a scope and timeline. A six-month backlog is usually a one to two week project. Larger backlogs take longer, but you will know the plan before we start.

The Tax Problem It Solves

If your books are behind, tax season is a nightmare. Your tax preparer needs organized records, and if they don’t have them they will either charge you significantly more to sort through the mess or file an extension. Getting caught up before tax deadlines saves you real money and a lot of stress.

After the Cleanup

The relief of having current books is hard to overstate. You stop dreading that pile of paperwork. You stop guessing whether your business is profitable. You can finally answer basic financial questions about your company with confidence instead of anxiety.

Once the catch-up work is complete, the question becomes how to keep things current going forward. Some clients move into our full-service bookkeeping so the backlog never builds again. Others prefer to maintain things on their own now that they have a clean starting point. Either way, you are making that choice from solid ground.

Real Visibility

You can finally see which months were strong and which were not. You can spot spending patterns. You can identify where money is leaking. These are basic things that every business owner deserves to know, and messy books are the only thing standing in the way.

A Clean Foundation

Every good financial decision starts with accurate data. Whether you need a loan, want to bring on a partner, or are just trying to figure out if you can afford to hire someone, clean books give you the foundation to move forward with clarity instead of guesswork.
